Generating Emails with Matik Mail

This article focuses on how to generate emails with Matik Mail from an existing template. For information on how to create a Matik Mail template, see the Creating Matik Mail Templates help article.

When you have completed the setup of your template, switch to the Send and Schedule tab at the top of the template (Admin only). Fill out the inputs on the left side of the screen and click on the “Send Email”. 

You have 4 options for sending emails:

Send Test Email

Creates a test email that is sent to the email associated with your Matik account using the values from the inputs you entered. The email is not sent to the Dynamic Recipients in the “to” field, or any of the CC’d recipients. You will still have the opportunity to preview the email before it is sent to you.

Send Emails

Select this option to send an email.

Creates a preview of the email and your attachments based on the inputs you entered to view before you send your email to its target recipient.mceclip2.png

If the information in the email and attachment looks correct, scroll down and click “Generate Emails” to send. You will see a confirmation screen that emails are generating. You will receive an email from Matik when your email(s) send.

There is a limit of 15,000 values in the bulkable input. 

Schedule Email Send

Allows you to schedule an email to be sent at a set time and on a recurring basis. On the next screen you can select when you want your email to send and how many times you want it to run. If you only want to send a single email, enter "After 1 occurrence" under "Schedule End".

If you checked “select all” for any inputs during setup, you’ll also see an additional setting: ‘Refresh values for inputs set to “Select All” on scheduled generation.’ Please note that this setting only works for data-driven inputs.

  • When this setting is on: each time the schedule runs, we’ll query your data again, and use all matching input values. (This is the default configuration.)
  • When this setting is off: we’ll always use the input values that were selected during setup. 

Here’s an example. Let’s say you have a Customer Name input, whose possible values are populated based on your active customers. When you first fill out your inputs, there are 10 active customers.

  • If ‘refresh values’ is on: when it’s time for the schedule to execute, we query for active customers again, and find 15 matching values. We’ll use all 15 updated values for Customer Name.
  • If ‘refresh values’ is off: each time the schedule executes, we’ll use the 10 values that were selected at setup. 

If you’re not sure which option to use, keep ‘Refresh values’ toggled on, to ensure you’re always using the freshest data. 

Click schedule to set your email schedule. Click on Preview Scheduled Flow to generate a preview email and set your schedule after viewing the preview.
When a scheduled email runs, it will always run off of the most recent version of the email template. Do not make changes to a template with scheduled runs unless you want those changes to appear in scheduled generations.

CSV Upload

Toggle the Inputs toggle in the top left menu bar to CSV Upload to run an email send with CSV Upload. For more on this see CSV Bulk Generation For Matik Mail.

Email Send Timing

When an email is manually set or when an email is scheduled to run, Matik will begin the generation of the emails and attached content. The actual email send time will occur after the scheduled time due to generation time. Emails in a bulk job are sent after ALL of the emails/presentations in the bulk generation have been completed.

Viewing Generated Emails

To view and manage scheduled and generated email jobs, navigate to the Flows tab in Matik. See the Flows help article for more information.
