Scheduling Presentations to Run

You can schedule out your presentations for a future date of your choosing using Matik’s Scheduling feature.

Scheduling

After filling out all of the inputs associated with a template, click on the schedule icon. You can schedule your presentation or bulk generation to be created on a daily, weekly, or monthly cadence.

You can also choose the frequency (e.g., every week, every two months, etc.) and the date you’d like the presentations to generate on (e.g., generate on the third of every month).

Lastly, you can tell Matik how long you want the schedule to last (e.g., stop schedule after 3 occurrences). Matik will send you an email when the presentations have finished generating.

Setting Dates for Input Relative to Generation Date

If there is a date picker input associated with this template, you also have the option to select a time frame that is relative to the date of generation instead of an absolute time frame. For example, let’s say you want to schedule your presentation to generate on the first of every month and have it include data from the past three full months. Within the date picker input, select “Relative to generation date.” Then, type “3" and select “Months,” then check “Use full month(s).” Then, when you set up your schedule for the first of every month, Matik will see that you want the generated presentation to include data from the last three full months relative to the first of each month.

Refreshing Select All Inputs

If you checked “select all” for any inputs during setup, you’ll also see an additional setting: ‘Refresh values for inputs set to “Select All” on scheduled generation.’ 

  • When this setting is on: each time the schedule runs, we’ll query your data again, and use all matching input values. (This is the default configuration.)
  • When this setting is off: we’ll always use the input values that were selected during setup. 

Here’s an example. Let’s say you have a Customer Name input, whose possible values are populated based on your active customers. When you first fill out your inputs, there are 10 active customers.

  • If ‘refresh values’ is on: when it’s time for the schedule to execute, we query for active customers again, and find 15 matching values. We’ll use all 15 updated values for Customer Name.
  • If ‘refresh values’ is off: each time the schedule executes, we’ll use the 10 values that were selected at setup. 

If you’re not sure which option to use, keep ‘Refresh values’ toggled on, to ensure you’re always using the freshest data. 

Saving Scheduled Presentations to a Custom Location

Click on the Generation Options dropdown and select a custom Google Drive or OneDrive location to save your scheduled generations to.

Managing Scheduled Presentations

Manage your scheduled presentations from the Flows tab if you need to make any changes.

Please note that any changes made to a template after a run is scheduled but before presentations are generated will be reflected in the scheduled presentations.
